Who is responsible

This website belongs to the Students’ Representative Council (SRC) of the University of Mines and Technology (UMaT), Tarkwa, Ghana. The SRC and Erudite Africa Network (EAN), the company that built and runs the website, share responsibility for your information.

  • The SRC decides what the website is for and what goes on it. It also looks after the accounts of its officers and staff who sign in, including keeping their passwords safe.
  • EAN runs the website and its servers, and keeps them secure.
02

The short version

  • Visitors do not need an account. You can read the whole public website without giving us anything.
  • We collect your details only when you send them to us, for example through a form.
  • We use Google Analytics to count visits. It uses cookies.
  • We do not sell your information.
03

What we collect

When you send us something

  • Contact form: your name, email address, the office you are writing to, a subject and your message.
  • Bio submission form (for new executives and parliamentarians): your name, role, programme, year, bio and photo.

When you visit

Our server keeps a record (a log) of each visit: the date and time, the page asked for, your IP address and the type of browser you use.

Google Analytics also records which pages you view, how long you stay, the kind of device and browser you use, roughly where you are (city or country) and how you found the site. It does not tell us who you are.

When SRC officers and staff sign in

Their email address, a password (stored in a protected form, never in plain text), and sign in codes if two step sign in is on.

04

Cookies

A cookie is a small file your browser keeps. We use two kinds.

  • Needed cookies: two cookies (umat_access and umat_refresh) keep officers and staff signed in. Visitors who do not sign in never get them.
  • Analytics cookies: set by Google Analytics so we can count visits and see which pages are useful.

You can block or delete cookies in your browser settings. The public website still works. Blocking the needed cookies only stops staff from signing in.

To stop Google Analytics across all websites, you can install Google’s opt out add on for your browser.

05

Why we use your information

  • To reply to your message and send you its tracking reference.
  • To review and, where you ask, publish a bio you submit.
  • To let officers and staff sign in and manage content.
  • To keep the website working, fix faults and stop misuse.
  • To understand how the website is used, so the SRC can improve it.
06

Who we share it with

We share information only with the companies that help us run the website:

  • Railway, which hosts our servers and so holds the logs and anything you send us. Hostinger looks after our website address.
  • Google, which provides Google Analytics.

Messages sent through the contact form go to the office you choose at the SRC. We may also share information if the law or a court requires it. We do not sell it, and we do not share it with advertisers.

07

Where it is kept and how we protect it

Our servers are provided by Railway. Railway’s data centres may be outside Ghana, so your information may be stored or handled in another country.

Connections to the website are encrypted. Only people who need access to our systems have it, and officers and staff can use two step sign in. No system is perfectly safe. If a breach affects your information, we will tell the people affected and the authorities, as the law requires.

08

How long we keep it

  • Server logs: 100 days, then deleted.
  • Messages and bio submissions: for as long as we need them to deal with your request.
  • Analytics data: kept by Google Analytics for the period set in our account.
09

Your rights

Under the Data Protection Act, 2012 (Act 843) of Ghana you can ask us to:

  • tell you what information we hold about you;
  • correct information that is wrong;
  • delete information we no longer need;
  • stop using your information for a purpose you object to.

To make a request, write to us using the contact details below. We may ask for something that helps us confirm it is you. If you are not happy with our answer, you can complain to the Data Protection Commission of Ghana.

10

Age

You must be at least 14 to send us information through this website. If you are under 18, please ask a parent or guardian first.

11

Changes to this policy

We will update this policy when the website changes. The date at the top shows when it was last updated.
